What You Will Do
Provide administrative support to multiple executives, including heavy meeting scheduling, arranging travel, and reconciling expenses
Coordinate all meetings with the Board and associated meals and travel
Consistently demonstrate solid understanding of priorities and proactively manage calendar and schedule
Participate in special projects as needed, and perform general administrative functions
Plan and coordinate team events
Prep meeting materials, agendas and take meeting notes
Anticipate needs and proactively bring together resources to support the needs of the Executive
Prioritize competing requests, filter through requests, and follow through on behalf of the Executive as directed
Assist with presentations and correspondence, including preparing, editing and formatting
Coordinate highly detailed domestic and intermittent international travel itineraries
Effectively manage relationships in a cordial and professional manner and consistently look for new ideas to further develop working relationships
Understand organizational policies and procedures necessary to ensure appropriate decision-making protocols are followed
What You Will Need To Have
Strong verbal and written communication skills
Ability to work independently, as well as part of a collaborative team, and assume additional responsibilities as required
Exceptional organizational skills
Sound judgment and ability to reach decisions independently; focus on understanding the bigger picture – i.e., be results-oriented, rather than task-oriented
Ability to foster goodwill and cooperation across the board
Professionalism and a positive customer service attitude
Adaptability to changing plans and priorities; aptitude to deal comfortably with ambiguity
Strict confidentiality standards
Expertise with MS Office applications (i.e., Outlook, PowerPoint, Word, and Excel)
5+ years of experience as an Executive Assistant to a senior executive; experience working with Board Members/preparing for Board of Directors Meetings
